WORKSHEET / QUICK CALCULATION

Event budget check

Add fixed costs, guest costs and your own contingency allowance.

HOW IT WORKS · EXAMPLEFixed 500Guests 500Extra 1001,100CAD
Example: 500 fixed + (20 guests × 25) + 10% allowance = 1,100 CAD.
Method & limits

Base = fixed costs + guest count × cost per guest. Contingency = base × allowance ÷ 100, rounded to cents. Total = base + contingency; remaining = available budget − total. Negative remaining means over the entered budget. Include known fees/taxes in your costs; none are inferred.

WORKSHEET / QUICK CALCULATION

Run-of-show time blocks

Add up to 12 blocks with a transition buffer between them.

HOW IT WORKS · EXAMPLE1 · 30 min2 · 20 min09:0009:3009:4010:0010 min buffer
Example: 30 min + 10 min buffer + 20 min = 60 min elapsed.
Method & limits

Each block starts after the previous block and the entered buffer. There is no buffer before the first block or after the last. Whole minutes only; maximum total 7 days. Next-day labels show midnight crossings. This is elapsed clock arithmetic, not a dated calendar: daylight-saving changes and time zones are not modelled.

A practical starting point

  1. Confirm the venue window, guest count and agreed scope.
  2. Allow explicit setup, transition and pack-down time.
  3. Confirm supplier details and accessibility arrangements in your approved system.
